Email is the foundation of Echelon’s outreach and communication system. Available on every plan, it lets your AI Employees send personalized messages, follow up with leads, manage reply threads, and run multi-step sequences — all without manual intervention. This page explains how email works inside Echelon and how to get the most out of it.

How email works in Echelon

When you connect your email account, Echelon’s AI Employees gain the ability to send and receive messages on your behalf. The AI Manager orchestrates when and how emails are sent — triggering outreach at the right moment in a pipeline, queuing follow-ups based on contact behavior, and routing replies to the appropriate AI Employee for handling. All email activity appears in your Echelon dashboard, giving you full visibility into what was sent, when, and to whom.

Connect your email account

Open your workspace settings

Log in to your Echelon dashboard at dashboard.echeloncrm.app/auth and navigate to Settings → Integrations.

Select email

Under the Channels section, click Email to open the connection panel.

Authorize your account

Follow the prompts to authorize Echelon to send and receive email on your behalf. Echelon supports major email providers through standard authorization flows.

Confirm the connection

Once authorized, your email address appears as active in the Integrations panel. Your AI Employees can now send and receive messages through this account.
Connect the email address your contacts already recognize — this increases open rates and reduces the chance of messages landing in spam.

What AI Employees can do via email

Echelon’s AI Employees handle every stage of email communication. Each specialist is built for a specific role, and the AI Manager coordinates them based on your pipeline and workflow settings.

Outreach

AI Employees send personalized first-touch emails to new leads, referencing contact data stored in your CRM to tailor each message.

Replies

When a contact responds, your AI Employee reads the message and sends a contextually appropriate reply — keeping the conversation moving without you lifting a finger.

Sequences

Set up multi-step email sequences that automatically progress contacts through a series of messages based on time delays or engagement triggers.

Reminders

AI Employees send timely reminder emails — for upcoming calls, pending proposals, overdue actions, or any event you configure in your pipeline.

Email sequences

Sequences let you build structured, multi-touch email campaigns that run automatically. The AI Manager assigns the sequence to an AI Employee, which handles delivery, timing, and any replies that come back.
The Starter plan includes basic email sequences. You can define a series of messages and set time-based delays between each step. Contacts move through the sequence automatically once enrolled.
Growth and Scale plans unlock the full automation builder, which lets you build conditional sequence logic — branching paths based on whether a contact opened an email, clicked a link, or replied. The AI Manager can also trigger sequences automatically when contacts enter specific pipeline stages.

Tips for effective email automation

Keep your sender name consistent and use a real name rather than a company alias — contacts are more likely to open emails from a person than a brand.
Draft and review all steps in a sequence before adding contacts. This prevents contacts from receiving incomplete or out-of-order messages while you’re still editing.
AI Employees pull from the contact data in your CRM when composing messages. The more complete your contact records, the more relevant each email will be.
Even though AI Employees handle replies automatically, reviewing recent conversations in your dashboard helps you catch edge cases and refine how your employees respond over time.
The AI Manager optimizes send timing based on pipeline context. Avoid overriding send schedules manually unless you have a specific reason — the default behavior is designed to maximize engagement.
